DUNEZOKIT TRIPS / THE GUIDE

Student group trips, from society idea to confirmed departure.

Planning for a student society means more than choosing a destination. Make responsibilities, participant commitments and your institution’s procedures clear before anyone pays for a booking.

  1. Agree who can make commitments
  2. Keep a confirmed participant list
  3. Follow your institution’s process

Student group trips: start with the approval process

Define the purpose, intended participants, dates and expected group size. Ask your students’ union or institution what approval, insurance and risk assessment steps apply. Establish who has authority to agree a contract or commit society funds before requesting final bookings.

For example, Students’ Union UCL’s activity guidance includes approval and risk assessment procedures for its own clubs and societies. Its rules are specific to UCL; use your own institution’s process rather than assuming another university’s requirements apply.

Move from interest to a confirmed group

  1. Collect interest and availability without implying a place has been booked.
  2. Compare options with suitable capacity and a complete cost.
  3. Explain the deadlines, booking conditions and information needed.
  4. Keep confirmed participants separate from expressions of interest.

For student group trips, check assessment periods and society commitments before choosing dates. Agree a decision point for going ahead, reducing the scope or cancelling the proposal. Do not promise that members can withdraw freely unless the relevant supplier terms support it.

Make ownership visible

Name a coordinator, a budget lead and owners for transport and accommodation. In a smaller group, one person may cover several roles, but everyone should know who to contact. Record each decision with its date and next action.

Not every member will read every message. Send a concise update when the trip is confirmed, when travel is booked and before departure. Include a backup contact so a delayed organiser does not leave the group without instructions.

Track commitments as well as payments

Group travelCapacity, luggage, transfers, schedules and quote conditions.
AccommodationRoom allocation, fees, payment dates and possible deposits.
ActivitiesShared or optional participation, capacity and terms.
Cash flowUpfront payments, reimbursements and a contingency allowance.

Keep estimated, committed and paid amounts distinct. Cancellation terms can change as departure approaches, so tell participants about deadlines that affect their commitment. Use the payment and approval channels required by your society rather than building an informal collection process around a personal account.

Prepare an arrival brief people will actually use

Share the programme, addresses, transport times and relevant confirmations in one place. Each participant keeps their own personal travel documents. Limit access to sensitive information to people who need it; the general group chat is not an administrative record system.

  • Describe the meeting point so a first-time member can find it.
  • Explain how to report a delay or absence.
  • State exactly which meals, journeys and activities are included.
  • Keep the receipts needed to reconcile the final budget.

Leave a useful handover for next time

Common problems include presenting a proposal as a confirmed trip, paying before approval and advertising a price that leaves out essential costs. Be explicit about what is still provisional and date the confirmed programme.

After returning, settle the accounts and record missing costs, helpful lead times and information gaps. The next committee should be able to learn from the trip without needing to reconstruct it from old messages.
